Compliance & Documentation
Full compliance with EU regulations is essential for smooth import. Firewood ensures all shipments meet phytosanitary, customs, and sustainability requirements with complete documentation.
Phytosanitary Certificates
All firewood exports from Ukraine to the EU require phytosanitary certificates issued by the Ukrainian State Service of Ukraine on Food Safety and Consumer Protection. These certificates confirm that the wood has been treated and inspected according to ISPM 15 standards.
Firewood arranges phytosanitary certification for every shipment. Certificates are issued before dispatch and included with shipping documentation. We ensure certificates are valid, correctly completed, and match the shipment details exactly.
Certificate validity: Phytosanitary certificates are typically valid for 14 days from issue. We coordinate certification timing with shipping schedules to ensure validity upon arrival.
Required Documentation
Every shipment includes a complete set of documents for customs clearance:
Commercial Invoice
Detailed invoice showing product description, quantities, unit prices, total value, incoterms, and payment terms. Prepared in English and Ukrainian as required.
Packing List
Comprehensive packing list detailing packages, weights, dimensions, and contents. Matches commercial invoice and physical shipment.
Certificate of Origin
Official certificate confirming the firewood originates from Ukraine. May be required for customs classification and duty calculation.
Transport Documentation

Sustainability & Traceability
Firewood is committed to sustainable sourcing and full traceability of our firewood products.
EU Timber Regulation (EUTR) Compliance
We comply with EU Timber Regulation requirements, which prohibit the placing of illegally harvested timber on the EU market. Our due diligence process includes:
- Verification of legal origin of all firewood
- Documentation of supply chain from forest to export
- Risk assessment and mitigation procedures
- Maintenance of records for regulatory review
Sustainable Forest Management
All firewood is sourced from sustainably managed forests in Ukraine. We work with suppliers who follow responsible forestry practices, including:
- Selective harvesting that maintains forest health
- Reforestation and regeneration programmes
- Protection of biodiversity and ecosystem services
- Compliance with national forestry regulations
Traceability
We maintain detailed records of product origin, processing, and shipment. Traceability documentation is available upon request and may be required for compliance audits or certification schemes.
Customs & Import Requirements
Import requirements vary by EU member state. While we provide all standard documentation, you are responsible for:
- Import customs clearance (unless otherwise agreed)
- Payment of applicable import duties and VAT
- Compliance with any additional national requirements
- Notification to relevant authorities if required
We recommend consulting with your customs broker or import agent to confirm specific requirements for your country. We can provide documentation samples in advance to facilitate clearance planning.
